Pluralworks LLC (the "Company") provides the Chronock scheduling and booking management service (the "Service") and considers protection of personal information and privacy to be a top priority.
This Privacy Policy (the "Policy") applies to all users of the Service, including Member Accounts and Contact Accounts described below. Please read this Policy carefully before using the Service.
We comply with applicable privacy laws and regulations, including the Act on the Protection of Personal Information (APPI), the Telecommunications Business Act of Japan, and, where applicable, the GDPR (EU General Data Protection Regulation) and the CCPA (California Consumer Privacy Act).

3. Definitions
The following terms are defined as follows in this Policy.
- Member Account: A host user who registers for the Service and manages scheduling and bookings (the contracting party for either paid or free plans).
- Contact Account: A user who makes booking requests to a Member Account (a guest user who uses booking confirmations or email login features).
- User: A collective term for Member Accounts and Contact Accounts.
4. Information We Collect
We collect the following information depending on the account type.
4.1 Information Provided Directly by Users
(1) Information collected from Member Accounts
- Account Information: Name, email address, password (encrypted), profile image, company name, job title.
- Calendar Integration Information: Event details and availability information when Google/Microsoft calendar integrations are authorized.
(2) Information collected from Contact Accounts
- Booking and Contact Information: Name, email address, phone number (optional), booking notes.
- Login Information: Authentication logs when email address verification is used for booking confirmations.
(3) Information collected in common
- Inquiry Information: Support inquiries and feedback.
4.2 Information Collected Automatically Through Service Use
- Device and Log Information: IP address, browser type, OS version, access timestamps, referrer information.
- Behavioral Logs (Session Replay): To improve service quality, we may record on-screen interactions (clicks, scrolls, etc.) using tools such as PostHog. Input fields are automatically masked, and sensitive input such as passwords or personal messages are not collected.
- Cookies and Similar Technologies: Used to maintain authentication state and analyze traffic.
5. Purposes of Use
We use collected personal information for the following purposes.
5.1 Service Provision and Operations
- User authentication (for both Member and Contact Accounts)
- Scheduling, booking management, and external calendar synchronization
5.2 Service Improvement and Development
- Usage analysis (e.g., UI improvements based on interaction logs)
- Planning and development of new features and bug fixes
5.3 User Support
- Handling inquiries, incident notifications, and important announcements
5.4 Security
- Detecting and preventing unauthorized access, spam, and violations of the Terms of Service
5.5 Marketing
- Sending information about our services (only with your consent)
5.6 Limitation to Intended Purposes
We use personal information only within the scope of the purposes described above. If we intend to use it for purposes incompatible with those, we will obtain prior consent or follow applicable laws.
6. Google API Services - Limited Use Disclosure
Our use and transfer of information received from Google APIs (Gmail, Calendar, etc.) comply with the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- Purpose Limitation: Google user data is used only to provide and improve features explicitly requested by the user (such as calendar synchronization and scheduling).
- No Advertising Use: Google user data is never used for advertising or sold for such purposes.
- No Human Access: We do not allow human review of this data except for security investigations, legal compliance, or with the user's explicit consent.
7. Disclosure Based on External Transmission Regulations
In accordance with the Telecommunications Business Act of Japan, we disclose the details of information transmitted from user devices to third parties ("external transmission") as follows.

8. Third-Party Provision, Outsourcing, and Joint Use
8.1 Restrictions on Third-Party Provision
We do not provide (including sell or lend) personal data to third parties without prior consent, except as permitted by law.
8.2 Outsourcing
We may outsource all or part of the handling of personal data to external providers (such as cloud providers like AWS and analytics providers mentioned in Section 7) as necessary to achieve the purposes of use. In such cases, we provide appropriate oversight of subcontractors.
8.3 Joint Use for Booking Functions (Information Sharing)
Due to the nature of the Service, when a booking is confirmed, the following information is shared between the Member Account and the Contact Account.
- Information Shared: Name, email address, booking date and time, meeting URL, and responses provided during booking.
- Purpose: Scheduling coordination and meeting execution.
8.4 Provision to Third Parties in Foreign Countries
We may store personal data on servers located in foreign countries such as the United States (AWS, Google Cloud, etc.). We operate based on safeguards such as encryption, countries recognized by the Japanese PPC as having equivalent data protection, or contracts compliant with APPI/GDPR (e.g., DPA/SCCs).
8.5 Data Storage Location
Customer data is stored on servers located in the United States (Oregon and Virginia) and Japan (Tokyo).
9. User Rights
You have the following rights regarding your personal data held by us.
- Access, Correction, and Deletion: Access (including electronic records), correction, addition, or deletion of your personal data.
- Suspension and Erasure: Suspension or erasure of use, and suspension of third-party provision.
- Data Portability: The right to receive your personal information in a structured, machine-readable format.
- Withdrawal of Consent: The right to withdraw consent at any time where processing is based on consent.
- Non-Discrimination: We will not treat you unfairly for exercising your rights.
- Rights for EEA/UK/California Residents: Users residing in the EEA, the UK, or California may exercise rights under GDPR or CCPA, including lodging complaints with supervisory authorities and opting out. We do not sell or share personal information as defined by the CCPA.

10. Security Measures
We implement the following measures to prevent leakage, loss, or damage of personal information.
- Encryption of data in transit and at rest (SSL/TLS).
- Access controls and monitoring of access logs.
- Masking of sensitive information in session replays (input data is not retained).
- Security training for development and operations staff.
11. Retention Period
We retain personal information for the period necessary to achieve the purposes of use or for the period required by law. Personal information whose retention period has expired will be deleted or anonymized without delay.
12. Changes to This Policy
We may change this Policy due to legal amendments or changes to the Service. For material changes, we will notify you through postings in the Service or by email. The updated Policy becomes effective when posted on the Service.
